Event & Meeting Coordinator | Washington, D.C. (Hybrid)

Role Description
In this position, you will be part of a team responsible for planning, coordinating, and executing external events and meetings in support of our client. You will manage the full lifecycle of events, from initial concept through execution and follow-up, ensuring a seamless and high-quality experience. We are looking for a self-motivated team player who can think strategically while managing logistics, is comfortable working in a fast-paced environment, and has strong attention to detail. Your work will vary, but you can expect to support event planning and facilitation, coordinate logistics and stakeholder engagement, and contribute to outreach efforts and external engagements.
What you’ll be responsible for:

Capturing requirements and expectations for events and engagements

Coordinating logistics for events, meetings, external engagements, and site visits

Liaising with vendors, exhibitors, stakeholders, and government partners
-
Supporting venue selection, speaker coordination, and event scheduling
-
Providing on-site support, including set-up, execution, and tear-down
-
Conducting final event checks and ensuring a smooth participant experience

Supporting event budgets and tracking related information

Assessing event success and documenting lessons learned

Drafting briefing materials, including background information, logistics, and talking points
What you need to apply:

Local to the D.C, Maryland, or Virgina area- this is a hybrid position and requires two days a week in our Washington D.C. office space

Bachelor’s degree in a related field
-
5+ years’ experience in a corporate environment; client service experience a plus
-
Be a strong team player with the ability to communicate effectively across an organization
-
Excellent oral presentation and written communication skills
-
Proven ability to independently manage several projects simultaneously and to produce measurable results
-
U.S. citizenship
-
Ability to travel up to 30% when necessary

Have transferable clearance or ability to acquire a clearance
